MINUTES

AGHA ANNUAL HOMEOWNER’S MEETING

SEPTEMBER 21, 2009

 

I.                   CALL TO ORDER-President, Randy Simpson called the meeting to order at 7:10 PM.

 

II.                ROLL CALL-Present:  Ron Adams, Nannette Almon, Norm and Quink Arlt, Dave Estes, Jan Guerra, Allen and Barbara Harrington, Debra Jones, Carl Miller, Dick Moore, Pete and Nancy O’Meara, Randy Simpson and Anne Stellmon. 

 

III.             APPROVAL OF 2008 MINUTES-Randy Simpson made a motion that was seconded by Anne Stellmon to approve the 2008 Annual AGHA Minutes.  The motion passed unanimously.

 

IV.             INTRODUCTION OF CURRENT AG BOARD MEMBERS/BOARD REPORTS

A.                President-Randy Simpson reported that the 2008-2009 was a good year for the HOA.  We received from the City of Aurora, two water/xeriscape awards that allowed us to continue our commitment to reducing our water needs and transforming our common area to more xeriscape. Two board members resigned during the year, Barb Powell and Royal Shields. He thanked everyone who had helped with the mulching project.

B.                 Vice-President-David Estes helped organize with the xeriscape rebate project along with Derrick Laughlin and is responsible for the Spiff Awards. 

C.                Secretary-Anne Stellmon is continuing to work on the covenant restatement process.

D.                Treasurer-Dick Moore took over the treasurer’s position in February when Barb Powell resigned.  He reported that our expenses have been consistent over the past two years and are budget projections have been very close to the real numbers of income/expenditures.  We are seeing significant savings on water this year but have had more maintenance costs that balanced out.  We will use what is left in the unallocated reserve fund to pay for the attorney fees for the covenant restatement process.  There are no unusual expenses projected for the next year.

E.                 Social-Debra Jones reported that our social events have been very successful this year.  Our summer picnic was attended by over 50 people and 40 people attended the holiday party.  All of the Dumpster Days have been successful because we have filled the dumpster each time.  The next Dumpster Days is Oct. 3&4th and there will be a document shredder available on Saturday, Oct. 4.  She thanked ML Hanson for her help in organizing the Common Grounds Coffees each month; these have been well attended and will continue.  She thanked the Board for their continued support of our social events.  The Board thanked Debra for her efforts that have made our community events so successful.

F.                 Architectural Control Committee-Anne Stellmon reported there were 25 Requests for Architectural Changes this year which is average for the last several years.  One homeowner had not filed an ACC request for approval. The Board noticed that the materials would not meet our standards, the homeowner was contacted and immediately changed the roofing material before starting the project. 

G.                Neighborhood Watch-Derrick Laughlin reported that 30% of the AG homeowners are part of the email notification tree.  Derrick is in touch with our neighboring HOA’s and PAR Officer.  He helped organize the work crew for the xeriscape rebate project with Dave Estes.

H.                Welcoming-Carl Miller reported that there have been only 2 new homeowners this year and one home is currently for sale. Carl Miller thanked Norm and Quink Arlt for their ongoing efforts to make our community a beautiful place to live.   

 

V.                INTRODUCTION OF BOARD CANDIDATES AND CANDIDATE PRESENTATIONS

A.                Nannette Almon-Nanette is new to AG, is married and has two children.  She is a former APS principle and served as her neighborhood block captain in her old neighborhood.  She is interested in being more involved in the community and getting to know our neighbors.

B.                 Debra Jones-Debra has served on the Board since 2005 and has enjoyed the experience and feels she has made a positive contribution to the community.

 

VI.             VOTING

 

VII.          UNFINISHED BUSINESS

A.                Covenant Restatement-Anne Stellmon reported that the proposed covenant restatement document will be available on the AG website the first of December.  Community education meetings will be held in January, February and March to explain the changes and get community feedback on the document.  A vote for approval of the new document is planned for May.  The Board selected the law firm of Rothgerber, Johnson and Lyons to draft the document, over two other firms/bids.

B.                 Community Garden-Derrick Laughlin reported for Lynn Walton on the huge success of the garden.  9 families participated in the project; the garden will continue into next year.  The Board thanked Lynn and Bob Stracy for their hard work and efforts to make this project possible.  

C.                2008-2009 Xeriscape Projects-Norm Arlt reported that only a few plants in the Grant Area need to be replaced and the contractor will be doing that.  There has been a dispute with the City regarding the total of the rebate that we were anticipating and that area is doing well.  There was a discussion about using more native grasses in our common areas in the future.

 

VIII.       NEW BUSINESS

A.                Community Meeting with PAR Officer - Derrick Laughlin is making arrangements for a community meeting with our PAR officer to discuss ongoing vandalism especially on the periphery of our neighborhood

 

IX.             SPIFF AWARDS-Dave Estes announced the 2009 winners who received $25 gift certificates to Home Depot.  No categories were specified this year.

X.                ROYAL ORDER OF THE LOYAL SOLDIER-Randy Simspon presented to Quink and Norm Arlt an award and gift for 13 years of service to our community.  Their tireless efforts have saved us several thousands of dollars each year and have made it possible for us to receive several thousands of dollars in grant and rebate money over the past 5-6 years from the City of Aurora.

 

XI.             NEW BOARD ELECTION RESULTS-Nannette Almon and Debra Jones each received 18 votes (seven absentee votes were received) and were elected to serve on the Board until 2012.

 

XII.          ADJOURNMENT-Randy Simpson adjourned the meeting at 8:30 PM.
