AGHA BOARD MEETING

MAY 20, 2009

 

I.                   CALL TO ORDER-The meeting was called to order at 7:05 PM by President, Randy Simpson.

 

II.                ROLL CALL-Present-Dave Estes, Debra Jones, Derrick Laughlin, Dick Moore, Randy Simpson and Anne Stellmon.  Absent-Carl Miller and Royal Shields.

 

III.             APPROVAL OF MINUTES-Dick Moore made a motion that was seconded by Debra Jones to approve the April Minutes as presented.  The motion was passed unanimously; Anne Stellmon abstained from the vote.

 

IV.             ANDOVER GLEN HOMEOWNER ASSOCIATION FORUM-Norm Arlt was present and discussed the Xeriscape Grant and Rebate programs; see Unfinished Business.

 

V.                UNFINISHED BUSINESS

A.                Xeriscape Grant-Norm Arlt reported that work has been delayed to weather conditions and is set to begin around May 25th; it should take approximately 2 weeks to complete the work along Parker Rd.

B.        Xeriscape Rebate-Norm Arlt reported we have been granted a $4000 rebate based           on the square footage of sod removed and the number of plants.  We have 90 days to             complete the work.  We will schedule a community work day for June 27 or 28th to   spread the mulch.  Dave Estes and Derrick Laughlin will coordinate the work day.

C.                 Covenant Review Plan-Anne Stellmon will contact HOA attorneys to get another quote for the covenant rewrite.

D.                Community Garden-8 of the 10 plots are being used, the fence is up and most of the gardens have been planted.  A suggestion was made to include rules for the Community Garden in the P&P’s should we decide to continue this opportunity next year.  A motion was made by Anne Stellmon, seconded by Dave Estes to require that involved homeowners must pay their fees by July 1, 2009 and those fees will be separate from the Annual HOA fees.  The motion passed unanimously.  Lynn Walton will be responsible for sending out notices to the homeowners for the fees.  A thank you to Bob Stracy for his work on the community garden will be placed in the Gazette.

E.        Garage Sale/Dumpster Weekend- The weekend of June 5-6, 2009 has been         scheduled for Dumpster Weekend and a notice will be put in the Gazette.  The Garage           Sale is scheduled for May 29-30 and has been advertised in the Gazette. 

                       

VI.              NEW BUSINESS

A.                Summer Party-We will have a “Garden Party” on August 29th (raindate September 12, 2009).  The location will be at the tennis court gazebo and will be intended to celebrate the new garden and xeriscape projects.

B.                 2009-2010 Dues-Randy Simpson made a motion that was seconded by Derrick Laughlin to leave the dues the same for another year.  The motion passed unanimously.  Notices will be sent to homeowners the first of June.

C.                 June Board Meeting-The June 17, 2009 Board Meeting will be held at Mama Louisa’s at 7 PM.  A notice will be placed in the Gazette to announce the change of location.

D.                2009 Directory-The directory is being updated and will be delivered to homeowners in June.

 

VII.          BOARD REPORTS

A.    President-Randy Simpson asked to have articles turned in by May 29th for the next Gazette issue.

B.     Vice-President-No report.

C.     Secretary-No report.

D.    Treasurer-Dick Moore asked if we would like to renew the HOA insurance as it stands.  Derrick Laughlin will explore reducing the deductibles to save on premiums.  Dick suggested that we roll over the CD’s due in May, into one 6 month CD.  Anne Stellmon made a motion that was seconded by Derrick Laughlin to accept Dick’s suggestion.  The motion passed unanimously.

F.      Grounds-Norm Arlt filed the following report:

      1)Quink and Norm picked up trash along Parker Rd several times.  Quink and Norm              pruned various xeriscape shrubs.
            contract billing = $140 for mowing, $351 for sprinkler turn-on and repairs
            Norm sprayed Roundup on rock and mulch areas around tennis courts and other                       park areas several times
             Norm picked up sand pail from entrance
            Norm consulted with contractors on work to be done

             Norm investigated power outage, set up electrician to repair
              Norm checked sprinkler zones, set clocks for start of season
             Norm closed gate in fence on Parker Road
            Norm flushed dirt from garden sprinkler zone

             Norm treated tennis court cracks with Triox weed killer
            Norm trimmed shrubs growing into power/clock board
            Norm investigated the purchase and training for water meter readers
            Norm put out Water Allotment signs
            Norm turned off sprinkler zones in Xeriscape Grant area along Parker Road
      2) Website-Norm updated website for minutes, Gazette, grants, rebates, etc
            Xeriscape Rebate 2009.  Norm submitted Aurora xeriscape rebate design to meet               new requirements.  Norm followed up with Aurora.  Norm began staking,             marking, and other implementation steps.

       3)  Norm's current and future projects
            Norm will arrange purchase and training for water meter readers
            Norm continuing implementation of the Xeriscape Rebate projects
            Work with city on 2009 Xeriscape Rebate projects.  Norm pricing out plant                               identification signs; work on maintenance of Aurora Xeriscape Rebate area. Norm             to grind down tennis court cracks and fill. Norm to replace entrance lights with             compact fluorescent as they burn out

G.    Social-Debra Jones will be in charge of the Summer Garden Party and supervise the Dumpster Weekend.

H.    Neighborhood Watch-Derrick Laughlin reported the “near robbery” of his home that was thwarted by Royal Shields and his dog.  An article will be put in the Gazette honoring them.
