AGHA BOARD MEETING

AUGUST 19, 2009

 

I.                   CALL TO ORDER-The meeting was called to order by Pres. Randy Simpson at 7:05 PM

 

II.                ROLL CALL-Present: Dave Estes, Debra Jones, Dick Moore, Randy Simspon, Anne Stellmon.  Absent: Carl Miller.  Randy Simpson announced that Royal Shields tendered his resignation as a Board Member on July 21, 2009. Royal’s term ends in Sept. 2009.

 

III.             APPROVAL OF MINUTES-Derrick Laughlin made a motion that was seconded by Dave Estes to approve the July Minutes as presented.  The motion passed unanimously.

 

IV.             ANDOVER GLEN HOMEOWNER ASSOCIATION FORUM-Norm Arlt attended the meeting to give his Grounds report.

 

V.                UNFINISHED BUSINESS

A.                August 29, 2009 Picnic-The picnic will be held at 1:00 in the community park area.  The Board will provide chicken, pulled pork, water and sodas.  Debra Jones has made all the arrangements.  Anne Stellmon will help her the day of the picnic.  The other Board members will do the set-up beginning at noon.

B.                 Spiff Awards-Anne Stellmon presented a list of homes that have made architectural or landscape improvements during the past year and homes that have received awards in the past.  All homes are eligible for the Spiff Awards.  Board members are asked to select 6 homes to receive $25 Spiff Awards at the picnic and give their selection to Dave Estes.  Dave will present the awards at the August 29, 2009 picnic.

C.                 Covenant Restatement Plan-Anne Stellmon reported that the attorneys are preparing their suggestions and recommendations.  They will try to have a draft prepared for the Annual Homeowner’s Meeting in September.  Anne also registered AGHA as a non-profit organization and filed the 2009 Annual Report of the AGHA with the Colorado Secretary of State per the recommendation of the attorneys.  We were not aware that this should be done annually and we are now in compliance for one year; the Sec. of State will notify us when we are due to reregister.

D.                Community Garden-Lynn Walton reported that the garden is growing beautifully.  She requested that the Board consider reimbursement to the gardeners for the cost of the fencing.  She requested that gardeners be allowed to sell flowers at the picnic as a fundraiser and share produce for free at the picnic. Derrick Laughlin made a motion that was seconded by Dave Estes to reimburse the users for $400 that will be distributed equally among the users.  The motion passed unanimously.  Her other requests were agreed to.

                       

VI.             NEW BUSINESS

A.                2009 Annual Homeowner’s Meeting, Monday September 21, 2009.  The meeting will be held in the community room at Shalom Park.  We will serve light refreshments       from 6:30-7:00 when homeowner’s are encouraged to meet the Board members.  A donation will be made to Shalom Park for the use of their facilities for the last year. 

B.                 2009 Board Elections-Debra Jones has agreed to run for another term.  No other homeowners have expressed interest in serving on the Board at this time.

            September 2011-Carl Miller, Randy Simpson, Anne Stellmon

C.                 AGHA Directory-Anne Stellmon suggested that we offer the homeowner’s directory online rather that reprinting it each year.  This will save printing costs and keep the information current.    We will have Directories available at the Annual Meeting and will offer hard copies to homeowner’s that request one.

 

VII.          BOARD REPORTS

A.    President-Randy Simpson made a motion that was seconded by Debra Jones to grant a homeowner’s request to use the tennis courts for a square dance.  Norm Arlt stated that would not harm the courts.  The dance will be done before dark, they may not take down the nets, must pay for any damages involved and homeowner’s in the area will be advised of the activity.  The motion passed unanimously.

B.     Vice-President-No report.  Dave Estes will be responsible for the awards and get the $25 gift certificates from Home Depot.

C.     Secretary: Anne Stellmon filed the 2009 Annual Report with Sec. of State. $10 to file electronically and $40 for late filing fee. 

D.    Treasurer-Dick Moore reported that 6 homeowners have not paid their annual assessment yet.  A second notice for payment was sent on 8/13/09.  Debra Jones made a motion that was seconded by Derrick Laughlin to approve the July Treasurer’s Report as presented. Derrick Laughlin will be a signer on the back accounts as a replacement for Royal Shields. 

E.     ACC-Anne Stellmon will act as the ACC chairman until a replacement for chairman is selected.  All requests should go to her; there is an AGHA mail drop in the milk box on her front porch. 

F.      Grounds-Norm Arlt reported that he is waiting to hear from the city for rebate approval.  Several plants will be replaced in the fall in the Grant Area.  He has started grinding the cracks in the tennis courts.  Filling, painting and stripping should be done in a month.  One court is usable at this time. 

G.    Social-Oct. 3-4 will be Dumpster Days and we will have the shredder for 1 ½ hours. 

H.    Neighborhood Watch-Derrick Laughlin has been in contact with our new PAR officer and has invited him to attend our Annual Homeowner’s Meeting in September.
