Andover Glen Homeowner’s Association Meeting Minutes
January 17, 2005

1. Call to Order: The meeting was called to order at Shalom Park at 7:10 p.m. by
President Barbara Harrington.
Board Members Present: Jan Guerra, Barbara Harrington, Bob Meyer, Cindy Wagner,
Norm Arlt, Ron Adams, Dave Kline.
Board Members Absent: Randy Simpson, Curt Krall.
2. General Business:
* The Association purchased three signs for the neighborhood from the “Keep
Kids Alive Drive 25” Organization at cost of approximately $50. One sign is
located at 14190 E Saratoga Place, one is located at 4913 S Dillon St. The board
voted to place the third sign at the entrance to the Andover Glen Park. Barbara
Harrington will take care of this. There is an additional sign at 4882 S Dillon
St. This sign was purchased by Randy Simpson. The board voted to reimburse Randy
for the cost of his sign. The board also recommended taking the signs down
periodically so they do not become commonplace.
3. Board Reports:
President - Barbara Harrington:
* Barbara made a motion to direct AG Attorney to file a Certificate of Assumed
Name with the Secretary of State and Arapahoe County. Norm Arlt seconded the
motion which passed unanimously. This will allow Andover Glen to deal with
properties currently under the Sundown Homeowner Association Name.
* Barbara went over the AG Attorney’s Legal Services and Fee Agreement for
2005. Bob Meyer moved to secure the law firm for 2005 at the non-retainer rate.
Dave Kline seconded the motion. All board members voted in favor of using the
attorney’s at the non-retainer rate. The Board also gave Barbara the authority
to choose partner verses associate for AG business.
* There was a discussion at the last meeting regarding recommending contractors
in the Gazette. AG residents who have had a positive experience with a
contractor can forward their comments on to Randy Simpson at rgatess@yahoo.com.
Randy will include this information on the website, updated monthly. Each
recommendation will include a standard disclaimer. Barbara will work on the
verbiage for the disclaimer and give to Randy. Bob Meyer will contact these
recommended contractors to solicit prizes for the summer spiff contest.
* Barb passed out the new training schedule for HOA Boards. She reminded board
members that there is money in the budget if anyone would like to attend a
conference.
* At the last meeting Bob Meyer presented a bid for power washing the fence
along Parker Road. The Board would like Bob to secure a bid that includes power
washing the gazebo and tennis shed. Board members feel that the gazebo also
needs a new roof and coat of stain. The Board will review at the next meeting.
Vice President – Dave Kline
* Dave has contacted Emerald Isle, Nick’s Garden Center, and Arapahoe Acres to
get prices for seasonal flowers for the island relandscaping. He will report at
the next meeting. Dave would like to change plants two to three times throughout
the year.
Treasurer – Jan Guerra
* Balance sheet and income statements as of January 31, 2005 were passed out.
* Jan received notice of one foreclosure in Andover Glen.
* The HOA has a one year CD that is maturing 2/9/05 and Jan asked for feedback
regarding reinvestment. Jan moved to cash out the one year CD, add $5,000.00
from savings and reinvest in another one year CD. The second was made by Barbara
Harrington and passed unanimously.
* The software currently being used to keep the AG books is no longer supported.
Bob Meyers made a motion and Barbara Harrington seconded the motion to have Jan
purchase new software and print cartridges for approximately $250.00. All board
members agreed.
Welcoming – Cindy Wagner
* Reported that there were still two homes for sale in the neighborhood.
* Received Planning Department notice regarding a new car wash at Pioneer Hills.
Responded that AG is not in favor of another car wash located so close to the
existing car washes.
* Received Planning Department notice regarding the construction of 236 single
family attached townhomes at Pioneer Hills. Responded that AG has no position on
this replat. (The previous builder had planned 430 apartment units.)
Social – Curt Krall (absent)
* President Harrington reported that there was a nice turnout for the Christmas
party. She thanked the Melton’s for being such gracious hosts.
Safety – Bob Meyer
* Bob is working to secure Neighborhood Watch captains. He would like to work
with Woodgate HOA and their Neighboorhood Watch coordinator.
* There are currently three or four articles that Bob would like to put in the
Gazette. He will forward them on to Randy.
* The Board gave kudos to Bob for the tree removal on his property. Nice example
to set for other neighbors in regards to the Spiff program.
* The Board voted to have many small prizes awarded at the annual picnic instead
of a few big prizes for the Spiff contest. The Board felt this would be more
motivating to residents. All Board members will try to solicit prizes for the
contest. At the next board meeting Cindy Wagner will bring a sample letter which
board members can give to retailers in return for a donation.
Grounds - Norm Arlt
* Norm built a double sided whiteboard for the Dillon Street entrance.
* The mulch bed by the north fence in the park has been expanded. Norm also
restored the mulch on the front medium which was displaced by tire tracks and
filled in mulch around the new monument. He plans to request another free
truckload of mulch for future landscaping projects, including around the tennis
courts.
* Quink and Norm put up and took down the holiday decorations. The Board thanked
the Arlt’s for their hard work and everyone thought the decorations looked
great.
* Norm did not rent a chipper. He is using the trimmings and dead trees for
kindling.
* The light fixture at the entrance has been repaired and Norm replaced a bulb
at the front entrance.
* The cottonwood stump by the tennis courts was removed. Other dead/problem
trees in the AG park have been cut down.
* The tennis court screens needed to be reattached. Norm took care of it.
* Norm sent out eight letters requesting bids for the groundskeeping for ‘05
– ’06. Five companies responded. Norm recommended Emerald Isle for lawn
mowing. He recommended Edgemaster for irrigation work. Barbara Harrington moved
to accept the bids from Emerald Isle and Edgemaster, Bob Meyer seconded the
motion. All agreed.
* There is a new streetlight in Sagebrush Park which has an impact on AG
residents.
* The City of Aurora mini grant project for 2005 has been significantly reduced
and only includes xeriscape projects. Norm has no plans to submit a request to
the City this year.
* Norm would like to get a price quote on additional sidewalk along Parker Road.
* Norm will also pursue selling the water rights to the AG well.
* There were two sprinkler heads moved to avoid hitting the monument. Norm
received the insurance claim on electrical costs of $172.00. The monument outlet
was moved and two lights were added at a cost of $980.00. Norm recommends the AG
insurance agent review the changes to the monument
Secretary – Randy Simpson (absent)
* Barbara Harrington reported that Randy received a micro-grant for the Gazette
which totaled $99.08.
Preservation – Ron Adams
* Ron reported that the house at 14134 E Layton Drive has a new roof.
The Meeting was adjourned at 9:40 p.m. Next meeting will be at Shalom Park on
Wednesday, February 23rd at 7 p.m.
